FAQs

Applying for a Breast Pump

Most insurance plans cover a breast pump at no cost to you! Complete our Qualify Through Insurance form and we'll check your benefits. You'll see what's covered in your online account within a few days. Every plan is a little different, so we'll make sure you know exactly what you can get.

We work with most major insurance plans, including many PPO and Medicaid plans. Start by completing our Qualify Through Insurance form. We’ll check your benefits and let you know what breast pumps and supplies are available to you.

You may qualify for a breast pump during pregnancy and after your baby is born. When your pump can ship depends on your insurance plan.

Your plan may have an earliest ship date, which is the soonest your pump can ship

After all plan requirements are met. You can find your earliest ship date:

  • During checkout

  • In your order confirmation email

  • In your My Account dashboard

After you have completed the Qualify Through Insurance form and placed your order, we will let you know all of your insurance requirements and the earliest date your breast pump can ship.

Every insurance plan is a little different and may require steps such as a prescription, prior authorization, proof of birth, or waiting until a certain time during pregnancy before your pump can ship.

After you place your order, we’ll let you know your earliest ship date and any other steps your plan requires. We’ll keep you updated about where you’re at along the way.

We’ll send you an email with tracking information once your pump ships and you can check the status of your order at any time in your My Account dashboard.

We do not require that you have a prescription to get started! Most insurance plans will require a prescription for a breast pump and other motherhood items. If you need a prescription, we will let you know after your order is placed and work directly with your health care provider to get exactly what you need!

We can only bill your primary (main) insurance for a breast pump. Use your primary insurance to apply. If you have secondary insurance you can add it to your account later to see if it will help cover any co-insurance or cost-sharing, but it can’t be used to cover breast pump upgrade fees.

You can also call your secondary insurance directly to ask about their breast pump benefits - they may work with a different company.

When you apply, use the mother’s information, even if you’re covered under your partner’s insurance. We’ll need the mother’s full name and date of birth to process your order.

Even if you and your partner have the same member ID, using the mother’s information helps us verify your benefits and avoid delays.

Use your name exactly as it appears on your insurance. If your last name has changed but your insurance still has your previous name, apply using the name on your insurance card.

This helps us verify your benefits and keeps your order moving without unnecessary delays.

Hospital-grade breast pumps are different from personal-use breast pumps and may not be needed by everyone. Aeroflow Breastpumps offers one kind of hospital-grade pump, the Medela Symphony, for rental only.

If you’d like to see if you qualify or would like more information, our Customer Care team is here to help!

Yes! Depending on your plan, you may also be able to get pregnancy and postpartum support garments, replacement breast pump supplies, and lactation classes or appointments with our certified lactation specialists.

Some items, like pregnancy and postpartum support garments and replacement supplies, are only covered during certain times in pregnancy or after your baby is born. 2. Login with your phone number or email and password

  3. Select “My Benefits" on the left side of your dashboard

The Affordable Care Act (ACA) requires many health insurance plans to cover certain maternity and newborn care. Breast pump coverage may be included as part of your benefits.

To update your information, call the Member Services number on the back of your insurance card. Let them know you’ve been contacted about a coordination of benefits issue, they’ll walk you through what to do.

Once you’ve completed the process, reply to the email you received or contact our Customer Care team so we can continue checking your eligibility.

Yes! If your insurance only covers a breast pump when it’s medically necessary, we may still be able to help.

Medical conditions that may qualify include, but aren't limited to:

  1. Premature birth

  2. Multiple births, such as twins or triplets

  3. Serious illness of the mother or baby

  4. A prolonged separation after birth, such as a NICU stay

  5. Mastitis or another breast infection

  6. A neurological or genetic condition affecting the baby

  7. An anatomic or mechanical condition, such as a cleft palate

  8. A congenital condition that requires surgery

If you meet one of your insurance plan’s medical necessity requirements, we’ll need a prescription from your doctor with an insurance-approved diagnosis code. Our Customer Care team will help you figure out what’s next.

Your insurance covers a standard breast pump at $0. Some fancier or wearable pumps cost more than what insurance pays — that's the "upgrade fee."

If your insurance claims that the pump you want is fully covered, call the member services number on the back of your insurance card and ask to complete a three-way call with us. Our Customer Care team will be happy to discuss your benefits.

Most statements from your insurance are called an “Explanation of Benefits” (EOB). An EOB shows how your insurance processed your claim and what they paid. Your insurance sends you an EOB each time they process a claim. If your insurance was active and primary when you placed your order, and you haven’t ordered more than one breast pump during the same pregnancy with the same insurance plan, you don’t need to take any action.

If anything is needed from you, we’ll reach out and walk you through the next steps!

To help avoid delays, please wait until your new insurance is active before using it to apply for your breast pump.

If you're still having trouble, our Customer Care team will be happy to help!

Every insurance plan is a little different, and the benefits we show are based on what your plan allows us to provide. We’ll show you the benefits available to you through Aeroflow in your online account.

If you think your plan should cover more, we’re here to help! You can call your insurance company directly to review your full benefits. We’re also happy to join a three-way call with your insurance company to help answer any coverage questions.

Choosing a breast pump can feel overwhelming, and there is not one pump that is right for everyone. We’re here to help you find an option that fits your needs. Our Best Breast Pumps of 2026 guide reviews different breast pumps and features.

Still not sure which pump to choose? Our Customer Care team is here to help walk you through your options and answer your questions.

Your insurance covers a standard breast pump at $0. Some fancier or wearable pumps cost more than what insurance pays — that's the "upgrade fee." You can always pick a $0 pump if you'd rather not pay anything extra. We'll show you all your options!

If you choose a breast pump that is fully covered by your insurance, but your cart shows full price, first, clear your cart. Then, log out of your account and log back in using the link in the email you received from us.

If your breast pump still shows full price, our Customer Care team will be happy to help!

Insurance plans have different amounts they allow for breast pumps. Because of this, your upgrade fee may be different from someone else’s, even if you choose the same breast pump. Your upgrade fee is based on the coverage and rates set by your insurance plan.

Many insurance plans only cover breast pumps up to the amount they allow under your plan. This means your insurance may not cover the full cost of an upgrade.

Because every insurance plan is different, we recommend contacting your insurance provider to ask if they will cover or reimburse you for your upgrade.

We know how important your breast pump is to your care, and we want to make sure you always know what to expect. You can check your order status at any time through your My Account dashboard. Your account will show your order status, any steps you need to complete, and your earliest ship date, so you know exactly where you’re at and what comes next.

If you’re still unsure, our Customer Care team is here to help!

Items ordered out-of-pocket do not have a tracker. This is because some insurance plans require special documents or specific shipment dates. To see all of your orders, follow these steps:

If your order has already shipped, please review our return policy for next steps.

.

We are unable to make changes to your order once it has shipped. Due to FDA regulations, breast pumps are all sales final, and we are unable to accept returns or exchanges, even if the pump hasn’t been opened.

Need help with a product other than a breast pump? Our Customer Care team will help you understand your options.

Yes, you can! Our Customer Care team is happy to edit your order however you need.

Because a breast pump is considered personal medical equipment, we are unable to take returns or do exchanges on them. However, if your pump is malfunctioning, it comes with a manufacturer warranty! Please visit our warranty guide page HERE to see how you can submit your manufacturer warranty.

If you have received an item you cannot pay the copay for, our Customer Care team is here to walk you through your options!

You will most likely want to select “E0603” for any electric breast pump on our site. “E0604” refers to a hospital grade breast pump, which is only available with some insurances, and only for people who have a medical necessity that makes them unable to breastfeed.

Prescriptions

Yes! When you order your breast pump, we will ask for your doctor’s fax number during checkout. We will send a prescription directly to your doctor when you order, or you can download a blank Aeroflow prescription HERE and take it to your doctor directly.

Most insurance plans require a prescription for a breast pump and other motherhood items. If you need a prescription, we will let you know and work directly with your health care provider to get exactly what you need!

No, just provide us with your doctor’s information at checkout, and we will reach out to them for you!  Once they sign it and send it back to us, it will drop into your account and we will review it. We are here to make this process as easy as possible for you!

When a doctor faxes us a completed prescription, it can take up to 3 business days to be processed into your account. You can check the status of your prescription right from your My Account dashboard!

If it seems like your prescription is taking longer than usual to appear in your account, our Customer Care team is here to help! We can refax it to them at any time.

We fax a prescription to your doctor as soon as you order your motherhood items, but the time it takes for the prescription to be returned varies from doctor to doctor. It depends on how quickly your doctor’s office signs and returns prescriptions.

If it is taking longer than expected, you have a few options! The fastest way is to download a blank prescription and ask your doctor to sign it at your next appointment. You can then upload it directly from your My Account dashboard. we can refax the prescription to them, or give you a blank one to print out and take directly to your doctor’s office. 3. Select “Upload Prescription" on the left side of your dashboard

  4. Select “Choose File”

Please allow up to 3 business days for your prescription to be reviewed and applied to your account. You can check the status of your prescription on your My Account dashboard.

Absolutely! We can refax your prescription at any time. Our Customer Care team will verify your doctor’s name and fax number, and send it for you!

If your doctor is on the “do not fax” list, please download a copy of our blank prescription HERE and take it into your next appointment. Once it’s filled out, you can snap a picture of it and upload it to your online account, or email it to us to upload for you!

Some insurances, like Texas Medicaid or Louisiana Medicaid, require specific forms for a breast pump to be covered. When you place an order with us, we will automatically send your doctor whichever form is needed – no extra steps required!

Some reasons for prescription rejection include: denial from the doctor, missing info on the prescription, or fax errors that make us unable to read the prescription. These are the most common reasons, but if you would like to know why your prescription was rejected, our Customer Care team is  happy to check your prescription and refax it to your doctor if needed!

Texas Medicaid requires us to send a specific form (called a Title XIX form) to your doctor in order to approve a breast pump. If you applied with Texas Medicaid, we will automatically send them the form that is needed – no extra steps required by you!

Louisiana Medicaid requires us to send a specific form to your doctor in order to approve a breast pump. If you applied with Louisiana Medicaid, we will automatically send them the form that is needed – no extra steps required by you!

Some insurance plans may ask for an attestation. An attestation is a signed document that confirms the information you’ve provided is correct. Depending on your insurance plan, the form may need to be completed by you or your medical provider. It may ask for you to confirm your medical history or medical equipment you have used before.

If your insurance requires an attestation, we will help you get what you need. If you have any questions about what your insurance plan requires, our Customer Care team is here to walk through the process with you.

There are a few reasons why an item you ordered may have not shipped yet. Some reasons may include insurance requirements, prior authorization, or additional forms needed. You can check the status of your order on your My Account dashboard. If you aren't sure, our Customer Care team is here to help!

Clinicals and Prior Authorization

Clinicals are medical records that show the care you’ve received. They can include recent appointment notes, test results, or treatment records.

If your insurance requires clinicals, we’ll work with your doctor’s office to get the paperwork we need. If you’d like to help speed things up, you can also contact your provider and ask them to send your records to us.

Sometimes, insurance requires clinical documents to prove that motherhood items are medically necessary. We will work directly with your doctor’s office to get these documents (just like with your prescription!)

The most common reason clinicals are rejected is that they do not support the diagnosis code on the prescription. The prescription and clinicals need to work together. For example: if we receive a prescription with a diagnosis for back pain, the clinical notes need to mention back pain too.

If you have questions about your clinicals, our Customer Care team is here to help!

Different insurances have different requirements for Prior authorization. While some may only require a prescription to start the prior authorization process, others may require additional documents, such as doctor's notes on the pregnancy, labor and delivery, or both. We will request everything we need from your provider!

Once we have received all the required documents, we will start the prior authorization process with your insurance and send you an email letting you know the request is submitted. Please note that most insurance claims take anywhere from 7-14 business days to process. We suggest reaching out to your insurance company once submitted to monitor the progress of the request.

There can be a few reasons that your insurance denied prior authorization like, having received the maximum amount allowed for an item, duplicate requests, not enough documentation, or your insurance decided the item is not needed.

If you have received an email stating that authorization is denied, our Customer Care team will review the denial and walk you through next steps.

Replacement Parts

We are only able to send one kit of parts per month per insurance guidelines. If your insurance says they will cover replacement parts more often, call the member services number on the back of your insurance card and ask to complete a three-way call with us. Our Customer Care team will be happy to discuss your benefits.

Because our kits are pre-packaged, we cannot mix-and-match flange sizes in one kit. However, you can alternate flange sizes each month if you’d like to have both!

We are sorry to hear you received the wrong kit! Our Customer Care team will help make it right.

We are sorry you're not satisfied with the non-branded Spectra compatible parts. Our Customer Care team can send you a one-time replacement of Spectra name brand parts.

To make sure you receive the Spectra brand kit, please follow these steps:

  1. Select “Edit Your Info” from the email received

  2. Log into your online account

  3. Select “Edit”

  4. Select “Spectra Synergy Gold” as your breast pump (this will ensure you receive name-brand parts!)

  5. Select in drop down flange size

  6. Click update

  7. Check off the two necessary boxes to save your order to be placed

  8. Click “Order Now”

The adapter is not required for S1, S2, or S9 models which are included within the kit.

Normally, the first kit of replacement parts  will go out 35-90 days after your due date. However, the exact time frame differs for each insurance plan. We will send you an email as soon as you're eligible for your breast pump replacement parts.

In the meantime, you can also check your My Account dashboard to see if there are any additional insurance-covered items available to you.

This will depend on what type of insurance you have, but most insurance plans allow one kit of replacement parts every 30-32 days. To view how often your insurance covers replacement supplies and how many kits you have left, follow these steps:

  1. Select “Sign-In” on the top right of the website

  2. Login with your phone number or email and password

  3. Select “My Benefits" on the left side of your dashboard

If you have additional questions about replacement supplies our Customer Care team is here to help!

To make sure your insurance covers your supplies, we have to bill them in a specific way. This means we’re only able to send full kits each month instead of individual pieces.

We understand you may not always need the full kit, so we also offer individual pieces for purchase on our website. If you would like to order an individual piece out-of-pocket, please use the code “SUPPLY15” at checkout for 15% off your order.

Absolutely! If you're eligible for replacement parts, you can receive a kit for any pump we carry, even if you did not get your pump through us.

Normally, your kit of replacement parts will come with everything your pump came with (except for the actual motor itself!) This includes things like flanges, duckbill valves, tubing, bottles, and connectors- but will vary depending on what type of pump you have.

We’re sorry you’re having trouble placing your order for replacement parts! To place your order, follow these steps:

  1. Select “Edit Your Info” from the email received

  2. Log into your online account

  3. Select “Edit”

If you're having issues placing your order, our Customer Care team is here to help!

We are sorry for the delay on your kit of replacement parts! We hope to have this back in stock in the near future. Once your kit becomes available, we will ensure it gets shipped out to you! Once it ships, your My Account dashboard update and we will send you an email.

Because insurance will only cover one kit per month, we are unable to send multiple kits if you miss a month. If your insurance insists they will cover multiple kits in a month, call the member services number on the back of your insurance card and ask to complete a three-way call with us. Our Customer Care team will be happy to discuss your benefits.

If you would like to stop receiving shipments and/or reminders that you're eligible, our Customer Care team will be happy to update your account!

Still having trouble placing your order? Our Customer Care team is here to help!

Absolutely! If you're eligible for replacement parts, you can receive a kit for any pump we carry, even if you did not get your pump through us. Complete our Replacement Parts Qualify Through Insurance form and we’ll let you know if your insurance covers replacement parts and bags.

It depends on the type of parts you're using, but generally it is not recommended to wash your replacement parts in the dishwasher because the high heat may warp them. We recommend reaching out to your pump’s manufacturer for more information on how to clean your pump parts.

We’re unable to update your flange size in our system for auto-orders. You can update your flange size for each order by following these steps:

  1. Select “Edit Your Info” from the email received

  2. Log into your online account

  3. Select “Edit”

  4. Select in drop down breast pump model

  5. Select in drop down flange size

  6. Click update

  7. Check off the two necessary boxes to save your order to be placed

  8. Click “Order Now”

Milk Storage Bags

Most insurance plans cover milk storage bags at no cost to you! If you’re eligible, your first set can be ordered along with your pump. We’ll let you know when you're eligible to order more. If you did not order your pump through Aeroflow, complete our Qualify Form and we’ll walk you through your milk storage bag and replacement parts coverage.

There is not a set amount of bags covered across insurance - each plan is a little different. To view how often your insurance covers milk storage bags and how many orders you have left, follow these steps:

  1. Select “Sign-In” on the top right of the website

  2. Login with your phone number or email and password

  3. Select “My Benefits" on the left side of your dashboard

We do not offer brand selection for milk storage bags at this time. The brand of milk storage bags you receive through insurance is based on inventory to make sure they are received as quickly as possible. If you would like to order a specific brand out of pocket, please use the code "SUPPLY15" at checkout for 15% off your order!

If you're eligible, most insurance plans will let you order your first set of milk storage bags with your pump. How often you can reorder milk storage bags depends on your plan, usually starting 30 to 90 days after your due date. Billing

Yes! Aeroflow Breastpumps accepts HSA and FSA as a payment method for eligible purchases. Every HSA and FSA plan has its own rules about what’s covered. If you have questions about what your place allows, we recommend checking with your HSA or FSA provider.

If you need to request reimbursement, you can find your invoice in your My Account dashboard following these steps:

  1. Select “Sign-In” on the top right of the website

  2. Login with your phone number or email and password

  3. Select “View Orders & Receipts" on the left side of your dashboard

  4. Locate the order you need for your invoice

  5. Select “ORDER DETAILS”

  6. Select “PROOF OF PURCHASE”

A new tab will open and you will be able to download or print your proof of purchase.

If you do not see your order or are unable to download your invoice, our Customer Care team is here to help!

Aeroflow Breastpumps accepts payments via:

  • Credit and debit card

  • PayPal

  • Amazon Pay

  • FSA & HSA

  • Payment plans through Affirm.

Insurance plans have different amounts they allow for breast pumps. Because of this, your upgrade fee may be different from someone else’s, even if you choose the same breast pump or have the same insurance provider.

If your insurance requests a proof of purchase for reimbursement, please follow these steps:

Aeroflow Breastpumps submits claims to insurance after your item has shipped, or the date of service (DOS). DOS is the date your order is reported to your insurance. For breast pump orders, the DOS is based on your ship date, not the date you place your order.

To download your proof of purchase, please follow these steps:

  1. Select “Sign-In” on the top right of the website
